Our payroll specialist will ensure that team members are paid accurately and on time while maintaining compliance with all relevant laws and regulations. A successful candidate in this role maintains confidentiality, provides exceptional customer service to our team members, is detail-oriented, and enjoys working with numbers.
Competencies:
- Payroll Processing: Administer full-cycle payroll including calculating employee wages, overtime, bonuses, and deductions, ensuring 100% accuracy and on-time delivery of employee payment.
- Payroll Record Management: Maintain meticulous payroll records, including hours worked, wage breakdowns, employee information, timesheets, and other related documents.
- Compliance: Ensure that the payroll process complies with federal, state, and local laws and regulations, including tax withholding, wage and hour laws, and reporting requirements. Respond to unemployment claims in a timely manner.
- Tax Reporting and Payments: Prepare and process federal, state, and local payroll taxes, ensuring timely submissions of quarterly filings (e.g., Form 941) and year-end reporting (e.g., W-2, W-3). Lead payroll tax audits and address discrepancies with government agencies as needed.
- Benefits and Deduction Coordination: Ensure seamless integration of payroll with employee benefits, including health insurance, retirement plans, HSA/FSA, and other voluntary benefits. Audit and reconcile benefit deductions to maintain accuracy across payroll and HR systems.
- Reconciliation and Audit: Reconcile payroll accounts with general ledger entries and resolve discrepancies quickly to maintain financial integrity. Conduct periodic internal payroll audits to identify errors, improve processes, and meet compliance requirements.
- Systems Management: Manage and update payroll systems to reflect the latest employee, tax, and benefit changes. Identify opportunities to automate processes and optimize payroll workflows to increase efficiency.
- Reporting: Generate and analyze comprehensive payroll reports for management, accounting, and auditing to provide actionable insights. Support internal and external audits with accurate documentation and timely data sharing.
- Training and Knowledge Sharing: Train team members on payroll systems and policies, ensuring understanding of relevant compliance requirements and workflows. Document and update standard operating procedures (SOPs) to maintain consistency in payroll processes.
- Human Resources Support: Serve as a trusted resource by addressing payroll-related inquiries, resolving issues promptly, and communicating wage details, deductions, and policies in a clear and professional manner via phone, online chat, email and face-to-face.
Specifications:
- 5+ years of full-cycle in-house payroll experience.
- General knowledge of accounting principles as it relates to payroll.
- Certified Payroll Professional preferred but not required.
- Proficiency in Microsoft Office Suite (SharePoint, OneDrive, Teams, Outlook, Excel, Word, PowerPoint) and payroll systems.
- Bilingual in English and Spanish required.
