The Position
We are currently seeking an Administrator, working 37.5 hours a week, Monday-Friday in our London Offices.
Day to Day Duties
- Schedule meetings and update calendar
- Make travel arrangements and reservations for senior managers
- Create, maintain and ensure consistent use of office standard documents
- Complete pre-qualification questionnaires along with safe contractor, construction line applications
- Manage contact lists and invitations
- Answer and direct phone calls
- Prepare, format and distribute email, correspondence memos, letters and forms
- Assist in the preparation of reports and presentation
- Provide general support to visitors
- Organise meeting rooms and provide refreshments for meetings
- Direct visitors to the appropriate person and office
- Ensure reception area is tidy and presentable, with all necessary stationary and material
- Receive, sort and distribute daily mail/deliveries
- Greet and welcome guests as soon as they arrive at the office
- Data entry into company management system
- Scan and copy invoices- save to the system and file
- Send invoices, chase letters etc via special delivery
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and typing
- General kitchen duties, such as loading the dishwasher
Education & Experience
- Educated to A Level standard or equivalent
- GCSE's in Maths and English at grade C or above, or equivalent
- In-Design Experience an advantage
